# Kiosk and check-in

Run a template on a shared tablet so walk-in visitors can sign one after another, then find their signed forms and check them in.

> [!NOTE]
> Kiosk mode and check-in lookup are available on Pro and Platform.

## How a kiosk works

A kiosk is a template running full screen on a device you control, such as a tablet at a front desk. Each visitor enters their name, signs, and sees a thank-you screen. The kiosk then clears itself for the next person.

Every visitor's submission creates a new, completed envelope from the template. Each one counts toward your envelope usage like any other envelope.

## Before you start

The template needs exactly one role, and that role must be a Signer. It can't have fields that you fill in before sending, because nobody prepares a kiosk envelope. Assign those fields to the signer's role instead.

Kiosks don't support SMS verification. Use a [share link](/docs/share-links) for a role that needs it.

## Set up a kiosk

1. Open the template.
2. Under **Other ways to collect**, click **Set up** next to **Kiosk**. You can also choose **Kiosk** from the **⋯** menu.
3. Fill in the settings and click **Enable Kiosk mode**.

| Setting | What it does |
| --- | --- |
| **Welcome message** | Optional text on the kiosk's start screen. |
| **Operator PIN** | Optional. Staff enter it to exit the kiosk. Leave it blank when editing to keep the current PIN. |
| **Idle timeout** | Seconds without activity before the kiosk clears, from 30 to 3600. Defaults to 120. |
| **Redirect delay** | Seconds the thank-you screen stays up before the next visitor can start, from 5 to 120. The default is 10. |

## Start the kiosk

Click **Start kiosk** on the template's page, or **Start kiosk** in the kiosk dialog. The kiosk opens in a new tab. To run it on another device, copy the **Kiosk link** from the dialog and open it there.

Use the fullscreen button in the corner to hide the browser controls.

## What visitors see

The start screen shows your logo, the template name and your welcome message. The visitor enters their **Full name** and, optionally, their **Email**, then taps **Continue to sign**.

If the template also has a [share link](/docs/share-links), the start screen shows a QR code under **Prefer your own phone?** so visitors can sign on their own phone instead.

Visitors who enter an email address get a copy of the completed document. You aren't emailed for each check-in. The thank-you screen also offers **Email me a copy**. It never shows download links, and once the kiosk clears for the next person, the visitor's page can't be reopened from the browser's history.

### Idle reset

If nobody touches the screen for the idle timeout, a **Still there?** message counts down. If the visitor doesn't respond, the form clears and the kiosk returns to the start screen. Pressing the browser's back button doesn't bring back the previous visitor's form.

### Operator PIN

When a PIN is set, a lock icon appears in the kiosk's top corner. Staff tap it and enter the PIN to leave the kiosk. After five wrong attempts, the PIN is locked for 15 minutes.

## Turn off a kiosk

Open the kiosk dialog and click **Disable kiosk mode**. The kiosk link stops working and its settings are cleared. If you set it up again, it gets a new link. The template's share link isn't affected.

Integrations can turn Kiosk mode on with `POST /api/v1/templates/{template}/kiosk`, which returns the kiosk link, and off with `DELETE` on the same path. The PIN can be set through the API but is never returned.

## Check-in lookup

Check-in lookup lets staff find a visitor's completed form and record that they've arrived. **Check-in lookup** appears in the sidebar once you have at least one check-in folder. Keep this screen away from visitors.

### Choose the folders to search

Check-in lookup only searches envelope folders marked for check-in:

1. On **Envelopes**, create or edit a folder.
2. Turn on **Use for visitor check-in**. Subfolders need their own setting.
3. Put completed envelopes in that folder by hand, or use a [filing rule](/docs/filing-rules) to file them there automatically.

### Search and check in

Search by name, email, a value the visitor typed, or phone number. Use **Search by** to narrow it to **Signer / recipient**, **Typed value**, **Phone** or **Device / browser**. Phone searches need at least four digits. Sensitive fields aren't searched.

Each result shows the signer, the envelope, when it was completed and the text that matched. Names from the envelope's name fields are listed under **Names on envelope**.

Click **Check in** to record the visitor's arrival. A visitor can be checked in once per day, using the date on the staff device; afterwards the result shows **Checked in today**.

If the same name appears on another form or check-in that day, the result is marked as a possible duplicate. You confirm it's the right person before checking them in.

Only completed envelopes in live mode are searched. Test mode envelopes don't appear.

### Several people on one form

When one visitor signs for several people, such as a parent signing for their children, add a **Lines** field with a column for each detail to the template. The signer taps **Add another** for each person. Text typed into those rows is searchable in check-in lookup. See [Fields](/docs/fields).
